We are committed to processing personal information lawfully, transparently, and only to the extent necessary.

2. What this policy covers
This policy applies to personal information we process through:
- our website, including its contact form;
- our mobile applications and any accounts you use to sign in to them; and
- the backend services that power those applications.
Applications covered
This policy covers our published mobile applications, including
Kago Entle: Fleet Management (Android package
com.kagoentlefleet.app, iOS bundle com.kagoentle.app) —
a fleet-operations app provided to businesses for use by their staff.
Not every practice described below applies to every application — we only collect the information a particular Service actually needs to work. Where an application is provided to you through your employer or another organisation, please also read the section below on our role.
3. Our role & your organisation
For information you give us directly — such as a website enquiry — Tecknowlogiq is the Responsible Party under POPIA that determines how and why your information is processed.
Several of our applications are provided to a business, employer, or other organisation (our “Customer”) for use by their staff or members. When you use one of those applications as part of your work, the Customer is generally the Responsible Party for the operational records created through the app (for example, work records you capture on the job), and Tecknowlogiq acts as an Operator that processes that information on the Customer’s documented instructions. In those cases, requests about your operational records may also need to be directed to your organisation. We remain the Responsible Party for the account and technical information we need to run the Service securely.
4. Information we collect
We only collect the personal information we need to provide and secure our Services.
Information you give us through the website
When you complete our contact form, you provide us with:
- Name — so we know who we are talking to;
- Email address — so we can reply to your enquiry;
- Company / organisation (optional) — to understand your context;
- Service of interest (optional) — to direct your enquiry appropriately;
- Your message — the details of what you would like to discuss.
Please share only what is relevant to your enquiry. There is no need to include sensitive personal information (such as identity numbers, financial, or health information) in the message field.
Information we collect when you use our apps
Depending on the application, this may include:
- Account & identity information — such as your name, email address, an optional phone number, username, profile image, and a user ID used to identify your account.
- Content you provide — information and files you choose to add while using the app, which may include photos, documents, and receipts you upload.
- Authentication information — if you sign in using Google or Apple, we receive basic account details (such as your email and name) from that provider to create or link your account. We store your password only as a securely hashed value; we never store it in plain text.
- Technical & device information — a push-notification token (so we can send you alerts), and limited session information such as your IP address, device type, and app version, used for security, delivery, and diagnostics.
What we do not collect
Across our Services, we do not:
- collect your device’s GPS or precise location;
- collect biometric information;
- use advertising, third-party analytics, or cross-app tracking technologies; or
- sell your personal information.
Information collected automatically (website)
Like most websites, our hosting infrastructure automatically records limited technical information for security and reliability, which may include your IP address, browser type, the pages you visit, and the date and time of your visit. This is standard server log information and is not used to build a profile of you.
5. Why we process it & our lawful basis
Under POPIA, every use of your personal information must have a lawful basis. We rely on the following:
- To respond to your enquiry — when you submit the contact form, you consent to us using your details to reply. This is also necessary for our legitimate interest in engaging with potential clients.
- To provide and operate our applications — to create and manage your account, deliver the app’s features, and send you operational notifications. Where an app is provided through your organisation, this is done to perform the agreement between us and that organisation and on their instructions.
- To keep our Services secure — based on our legitimate interest in keeping them available, reliable, and protected against abuse.
- To comply with the law — where we are required to retain or disclose information to meet a legal obligation.
We do not use your information for automated decision-making or profiling, and we do not sell your personal information.
7. Cross-border transfers
Some of the Operators listed above may process or store information on servers located outside South Africa. Where this happens, POPIA (section 72) requires that the recipient is subject to laws, binding agreements, or rules that provide an adequate level of protection comparable to POPIA. We rely on these providers’ contractual data-protection commitments to safeguard your information when it is transferred internationally.
8. How long we keep it
We keep your personal information only for as long as it is needed for the purpose it was collected:
- Contact-form enquiries are retained while we deal with your enquiry and for a reasonable period afterwards for follow-up, and then deleted — unless a business relationship is formed.
- App account information is retained while your account is active. When your account is deleted, we remove or anonymise your personal information as described in the Account Deletion page.
- Operational records created through an app provided to your organisation may be retained by that organisation for as long as they need them for business, tax, and legal-compliance purposes, in de-identified form where possible.
- Technical server logs are retained for a short period for security and diagnostics.
9. How we protect it
We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, and misuse, as required by POPIA (section 19). These include transmitting information over encrypted connections (HTTPS), storing credentials in hashed form, using reputable service providers, and limiting access to your information to those who need it.
If a security breach affecting your personal information occurs, we will notify the Information Regulator and any affected individuals as soon as reasonably possible, in line with POPIA.
10. Your rights
As a data subject under POPIA, you have the right to:
- Access — ask what personal information we hold about you;
- Correction — ask us to correct information that is inaccurate or out of date;
- Deletion — ask us to delete information we no longer have a lawful reason to keep;
- Objection — object to our processing of your information on reasonable grounds;
- Withdraw consent — where we rely on your consent, withdraw it at any time (this does not affect processing already carried out);
- Complain — lodge a complaint with the Information Regulator (see below).
To exercise any of these rights, email us at privacy@tecknowlogiq.com. We will respond within a reasonable time and may need to verify your identity first. Where your request concerns operational records held by your organisation, we may direct you to, or coordinate with, that organisation.
11. Deleting your account & data
You can delete your Tecknowlogiq account and associated personal information at any time — either from within the app or by sending us a request. We explain exactly what is deleted, what may be retained, and how to make a request on our dedicated Account Deletion page.
13. Children's information
Our website and Services are intended for businesses and adults. We do not knowingly collect personal information from children under the age of 18. If you believe a child has provided us information, please contact us so we can remove it.
14. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. The latest version will always be available on this page, with the “Last updated” date revised accordingly.
15. Complaints to the Information Regulator
If you are not satisfied with how we handle your personal information, you may lodge a complaint with the Information Regulator of South Africa:
